Campaign Timeline

Six Weeks before Kickoff (Steps 1 & 2)

  • Meet with your CEO and/or senior manager to enlist their help in championing
    workplace giving
  • Determine staff for all workplace giving positions—chair(s), employee giving
    coordinator, communication coordinators, etc.
  • Attend the Employee Giving Coordinator luncheon
  • Review strategy and results from last year’s workplace giving

Four Weeks before Kickoff (Step 3)

  • Have your first workplace giving committee meeting to develop a plan and discuss workplace giving strategies and timing
  • Segment employee list to identify likely leadership donors
  • Create plan to make leadership ask (who/when)
  • Explain leadership giving societies to workplace giving committee (page 21)
  • Talk with HR to establish a method of contact to solicit retirees

Two Weeks before Kickoff (Step 4)

  • Recruit and confirm workplace giving representatives
  • Determine agenda and training for workplace giving representatives
  • Personalize pledge forms for leadership giving (ask your United Way representative for previous giving levels and areas of specific interest)
  • Arrange speaker(s) and agency tour(s) with your United Way relationship manager
  • Solicit retirees
  • Have department managers mention workplace giving at staff meetings

One Week Before Kickoff (Step 5)

    • Launch workplace giving communications and promotional materials
    • Send CEO communication to all employees (letter or email to employees—see
      Toolkit)
    • Launch leadership giving

    Week of Workplace Giving Kickoff (Steps 5 & 6)

    • Hold a kickoff event with EGC present to build enthusiasm for workplace giving
    • Publicize results of the leadership giving
    • Conduct employee solicitation and encourage 100% participation
    • Hold giveaways and drawings for those who have returned the pledge form
    • Confirm that workplace giving representatives have talked to all employees
    • Follow up with past contributors who have not yet responded
    • Report progress to all employees regularly and submit interim progress report
      to United Way

    Week of Workplace Giving Close (Steps 7 & 8)

    • Work with your United Way relationship manager to develop a strategy for
      those who have previously given by payroll deduction but have not yet responded
    • Determine final results and meet with CEO to discuss
    • Announce total amount raised to employees
    • Conduct final meeting with workplace giving committee and representatives
    • Thank/recognize all contributors
    • Submit final results to United Way
    • Discuss  implementation plan for new hires
